Privacy Policy

This policy explains how Macarthur Heights Community Group Incorporated (MHCG) handles personal information collected through this website, our forms, our events and our community channels.

What information we collect

We collect only the information we need to run the association and respond to you.

  • Contact-form enquiries: your name, email address and message.
  • Membership information: name, residential address, contact details, membership category and payment records.
  • Event registrations and RSVPs: name, contact details, number of attendees and any notes you provide.
  • Volunteer information: name, contact details and the activities you can help with.
  • Newsletter and group subscriptions: name, email address and mobile number where you join our WhatsApp or mailing groups.
  • Payment and contribution records: amount, date, payment reference and related correspondence.
  • Photos and media taken at MHCG events.
  • Website analytics: general, non-identifying usage information about pages visited.

Why we collect it

Personal information is collected for legitimate membership, governance, communications, event, volunteer and administrative purposes — for example replying to an enquiry, maintaining the register of members required by our constitution, organising events, acknowledging contributions and reporting to members.

Who may access it

Access is limited to committee members and authorised volunteers who need the information for their role. The register of members is never published online. We do not sell personal information, and we do not share it with third parties for marketing.

External service providers

We use third-party services to operate the website and our communications, including our website and database host, our contact-form delivery provider, email providers, mailing-list and messaging platforms, external membership forms and payment/banking services. These providers process information on our behalf and are subject to their own privacy terms.

Storage and retention

Information is stored in restricted accounts accessible only to authorised office-bearers. We keep membership, financial and governance records for as long as required by the constitution and applicable NSW requirements, and delete or de-identify other information when it is no longer needed.

Access, correction and removal

You can ask us what personal information we hold about you, request a correction, ask to be removed from a mailing list or group, or request removal of a photograph. Email admin@mhcommunitygroup.com.au and we will respond within a reasonable time.

Photos and media

Photographs and video may be taken at MHCG events and used in our website, newsletters, social channels and reports. If you do not wish to be photographed, let a committee member know at the event. To request removal of an image — including images of children — email us and we will remove it from MHCG-controlled channels as soon as practicable. Parents and guardians can raise any concern about images of children with the secretary.

Consent choices

We ask for separate consent for each of the following, so you only receive what you choose:

  • Responding to an enquiry
  • Receiving newsletters and community updates
  • Applying for membership
  • Registering as a volunteer
  • Event photography or media use

Privacy complaints

If you believe your privacy has not been respected, email admin@mhcommunitygroup.com.au with the details. The committee will review the complaint and respond to you. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.

MHCG's not-for-profit status does not change the way personal information is collected or handled. Personal information is managed for legitimate membership, governance, communications, event, volunteer and administrative purposes in accordance with this Privacy Policy and applicable requirements.
